When a GMail account is opened, an initial GMail Board is ready to use. All you need to know is how to add more 'GMail Boards', add or delete entries and create archived messages.

Special Note re: AOL (America Online).

What GMail is for
GMail is designed for effective communication between any size number of persons in a group.

GMail adds all messages into a single continuous page. You will never ever lose a Message. The person you send it to will never ever lose a Message. Junk Email will be gone forever. GMail reduces 1000's of Emails into sensible single pages that can be read by all group members, anywhere, at any time. You can create as many individual GMail Boards as you want. You can have separate GMail Boards for separate Groups. Old messages are 100% archived and easily located in seconds. GMail can provide email notification of all new message and updates.

GMail works with Netscape, Microsoft Explorer and all browsers on the Internet including AOL. It can display Images, Photo's, Link to any Web Site and can handle Downloading of any type of file.


GMail Definitions & Terms
GMail Account:Each registered account. i.e. /abc   Each 'Gmail Account' may have many 'GMail Boards' which are created by a 'GMail Account Manager'.
GMail Board:A specific display of messages seen by viewers with it's own URL identification.
i.e. /abc/123.htm  (123.htm is the Gmail Board)
Recipient:Any person who has the GMail Board I.D. or who is named as a 'Recipient' to receive email notification.
GMail Account Manager:The person who registered, is responsible for and manages the GMail Account.

GMail Applications
Messaging between any number of persons in a group
Notice Boards for any purpose
Chat between any size group of recipients online

America Online (AOL)
The AOL browser within AOL may not work well with GMail and many other Web Sites
In general it is very slow with all Web Sites and GMail does not recommend its use.

GMail Strongly Recommends Microsoft IE and Netscape. GMail recommends that if AOL is to be used, to use it with Microsoft IE and Netscape as follows.

When AOL is online, then minimize AOL and load IE or Netscape. This provides a superior browser and you will only be using AOL for the internet connection.


Privacy
Privacy and confidentiality are completely maintained as long as a GMail Board I.D. is not made known to others. Security requiring 'User Name' and 'Password' can be implemented at any time by an Account Manager.

Spamming is strictly prohibited.

    If GMail management is advised of spamming activity, the account will be suspended following an evaluation of the circumstances.

Logo's
When a GMail account is first registered, a temporary Logo is created that will remain in use until you send your own Logo to GMail

Please submit your own Logo sized 250 x 75 pixels in .GIF or .JPG format and send as an email attachment to support@usegmail.com


GMail Administration
All GMail functions are administered using the administrative program Main Administration (example only). Access requires both 'User name and Password'.

The 'Admin' address, 'User Name' and 'Password' is provide upon registration.


Adding Messages
Click    to display the 'Add Message' display.

Enter: From, To and Subject.

Next: Click checkbox if an Email 'Notice' is NOT TO BE SENT to be sent to recipients with update notification. (See: Recipients)

  • NOTE: ALWAYS CLICK this checkbox if GMail is being used for 'Chat' since an Email notice will be sent every time a message is added if this is not done.

Next: Type message and then click 'Send' or 'Test' (see next paragraph). The message will immediately be added at the top of 'GMail Message Board'.

  • NOTE: Line Lengths: Lines like this ------------ must be broken into lengths less than 70 characters like this ------------ ------------ ------------ If this is not done an 'Internal Server Error' message will appear. Solution: 'Go Back' and insert spaces into the line.

    It is advised to always 'Test Message' if lines are used, just to ensure that it does not cause a wide message.

  • NOTE: HTML, Java, Perl, CGI scripts etc: GMail should NOT be used to send messages containing HTML or Java code. GMail is an HTML based program and therefore the insertion of such code will usually jumble all prior messages.
  • RECOVERY: Recovery procedure from messages jumbled by code. The GMail Account Manager can use the 'Delete Messages' feature to delete the offending message immediately above the jumbled text.

In early versions of Netscape and some other browsers, the message is not always refreshed when the display returns to the 'Message Board'. If this occurs just click refresh and the message will appear.


Testing Messages
A 'Test Message' capability is provided to preview messages before being 'Sent'. This feature is provided since messages cannot be deleted after sending except by the GMail Account Manager. This preview capability is highly advised when using Photo's, Downloads or long messages and allows the user to see exactly how the message will be seen and to make changes before sending.
Deleting Messages
Messages for both Standard GMail and Notice boards may only be deleted by the 'GMail Account Manager' using the 'Delete Messages' function within the 'Main Administration' program.
HTML Coding for Color and Bold Text

The 'Add Message Display' allows selection of (5) colors in bold or plain for any individual complete message.

The color selected will not affect any prior messages.

If selected different colors are desired within any one message, then use code instructions as shown below.

Use codes as shown below in Green & Red, and all tags < or >
and/or quote " characters must be used.

For Color Text
Type:  <font color="green">text </font> to show the word 'text' in color
Colors to Use:   Red, Green, Blue, Purple, Maroon, Navy, Teal, Olive,
For Bold Text
Type:  <b> before text, and type </b> after text.
Color Text in Bold:   Red, Green, Blue, Purple, Maroon, Navy, Teal, Olive,
Chat Capability
GMail may be used as a 'Chat' program between all recipients who are online at the URL address at the same time. Messages will be seen by all and can only be deleted by the 'GMail Account Manager'.

NOTE: Always select 'Show Recipients' to OFF when GMail is being used for 'Chat' to avoid an Email notices being sent every time a message is added.


Message Limits
GMail boards have a limit of (50) messages. Massages above (50) are automatically archived and can be viewed by clicking 'View Archive'
GMail Page Index
A GMail Pages Index' is viewable to 'GMail Account Managers' only, and is viewed from the administration program.

Recipients who do not have a GMail account may use the standard browser bookmark capability to create their own GMail page indexes.


Special GMail Messages
The three items below are special GMail messages that may appear when necessary.
    Deactivated GMail Boards

    This message indicates a GMail board that may be deactivated for a variety of reasons including: Non-paying accounts, or, the 'GMail Account Manager' has temporarily deactivated the board for security or other reasons etc.

    Incorrect URL Address

    This message indicates that an incomplete URL address has been entered.

    No Longer In Use

    This message indicates that the GMail board is no longer in use. This may be for a variety of reasons including: The Account no longer uses GMail. or, the Account was terminated.


Copy & Paste
GMail accepts 'Copy and Paste' from most programs including: Word Processing, Spreadsheets.

Due to the large diversity of programs, it is advised to use 'Test Massage' whenever using 'Cut & Paste'.

WARNING: Do Not Use GMail to Send Messages with HTML, Java, Perl, CGI scripts etc., which may contain HTML code.

Since GMail is an Internet program, any insertion of HTML Code in a message will cause all previous messages below to become unreadable.

To send HTML code, GMail advises using standard email.


Backup - It's all done by GMail
GMail is fully backed up, both at the GMail Server and also at a separate storage site.
Managers Page
A GMail Account Manager has a page within the 'Main Administration' program that features the ability to delete and also add messages. i.e. A GMail Account Manager may add messages from this page or by using the page at the GMail Board I.D. address.
Creating New GMail or Notice Boards
The process of creating GMail boards is performed using the administrative program Main Administration Display (example only). Access requires both 'User name and Password'.

The 'Admin' address, 'User Name' and 'Password' is provided upon registration.

From within admin.htm select:

Learning to create, delete or change board is best achieved by using the program to create and modify a GMail board. When familiar with the program, you may simply delete any test boards that are not required.

    Headers

    A 'Header' is the banner you now see at the top of this GMail display. It includes: Logo, Title & Subject and a Touch Key that links to the GMail Website.

    The above key displays the 'Header' administration program providing the ability to: Create, Delete or Modify the following for any GMail board header:

    • Title
    • Subject
    • Managed By
    • Notice Board Option
    • To Show Recipients, check the 'Show Recipients' box in the 'Header' administration program.
    • The Logo may be changed by re-designing the Logo image. Note: The displayed Logo will be the same for all GMail and Notice boards created within any one GMail Account. To submit or change a Logo see: Logo's
    Notice Boards
    A Notice Board is created by checking the 'Notice Board' box in the 'Header' administration program. Notice boards are identical to GMail boards but without an 'Add Message' capability for recipients.
    Recipients

    A 'Recipient' is any person who knows the GMail Board I.D. and who is named with an email address in the 'Recipient' administration program.

    Both email address and name must be added to ensure that email notification will always be sent.

    Add Recipients
    Delete Recipients

    The above key displays the 'Recipient' administration program providing the ability to: Add, Delete or modify the following:

    • Add or Delete Recipients Names
    • Add or Delete Email Address

    Instructions are shown within the program display.

    Inserting email addresses enables GMail to automatically notify recipients by email that a message has been added. Not inserting or deleting an email address means that email notification will Not be Sent.

    Show Recipients
    If 'Show Recipients' box is checked in the administration program for 'Headers', then the names of all recipients will appear at the top the GMail board.

    This feature is provided since certain recipients may not be comfortable posting some messages if they do not know who is going to see them.

    An example would be an employee who might have a critical comment and maybe the company President is a viewer.

    No Recipients
    If No recipients names and email addresses are entered then no email notification of message updates will be sent.
    How to Stop email notifications to Specified Persons
    Delete both the Name and Email address from the 'Recipients' list. See Delete Recipients.
    Large Recipient Email Lists
    Large lists of 50 or more may be emailed as a text file to GMail for insertion at low cost, instead of entering names and email addresses manually one by one.

    When this is completed the account 'Manager' may add or delete recipients using admin.htm or may submit a new text file for re-insertion.

    Text file to be submitted must be setup in rows EXACTLY as follows:

              email address|name
              email address|name
              email address|name

    Lists of Recipients as text files are to be emailed as an attachment to:  support@usegmail.com

    Fee for Recipient text insertion is $15.00 per each insertion or update.


Passwords and Security
There are four types of security concerning GMail:
    General GMail Message Security
    GMail is more secure than email since a Gmail Board I.D. is only known to those persons given both the directory and specific GMail Board I.D. No.

    If a person leaves a 'GMail Group' and is to be restricted from access, the name of the GMail Board may be changed in the 'Create/Delete a Board' administration program.

    Note: If a GMail Board I.D. is changed, a message should immediately be sent to all remaining recipients with the new GMail Board I.D.

    When a GMail Board name is changed, the Board and all Archives will still be viewable using the old I.D., however, no messages can be added. All Archives created with the new GMail Board I.D. will only be accessible from the new Board and will not add to the previous Board Archive.

    Another option is to create a new board and discontinue use of the old board. This will then still provide access to the history of messages up to the date of change, which may be important to the restricted person.

    Special Password Security

    If an account requires additional security the Account Manager can implement 'User Name' and 'Password' protection at any time. This will then require 'User Name' and 'Password' to be used for access to all GMail board within an entire account.

    Account Administration Programs

    GMail Administration 'admin.htm' requires both 'User Name' and 'Password' for access. The Account Manager may change either of these at any time.

    Access by Search Engines

    GMail has implemented a restrictive program that prevent Search Engines from identifying and showing either the I.D. of providing access to GMail or Notice boards. Since the technology of Search Engines, Robots and Internet Spiders is constantly changing, we cannot guarantee 100% success, but GMail does review and will update it's security where practical.


Inserting Photographs, Images or Downloads
Inserting of Photographs, Images or Downloads requires that the file be located on a 'Host Server'.

There are two 'Host Server' options:

  1. Use your own Server if available.
  2. Using any local ISP. Preferably the ISP now providing your current Internet connection.
Using your ISP and what to ask for
  1. Contact your ISP and request a Host Service where your files may be located.
  2. Also obtain a 'Host Address', 'User Name' and 'Password'. >li>Next you will need FTP (File Transfer Protocol) software. This is easy to use and is required to transfer files to a Host Server. See next item.
How to get WS-FTP to transfer files
There are many variations of FTP available and any one will do. We currently recommend WS_FTP which can be downloaded by clicking WSFTP. You may qualify for a free personal version.

Once you have FTP software you can transfer files to the Host Server.

Inserting Photographs or Images
All Photographs or Images must be in .jpg or .gif format, preferably sized not greater than 300 x 300 pixels. Files larger the 300 x 300 pixels rapidly increase page display time. See 'Faster Loading with Linked Images' below.

Transfer the image file(s) to your Host Server address.

Codes to type in Messages for Insertions

into message and then change to suit

Faster Loading with Linked Images

In GMail just as in any other Web Site, it takes time to load images.

If you expect to have more that (3) to (5) photographs or images within a single message display, we highly recommend that you 'Link To' images for viewing, rather that have them viewable within the actual GMail message.

This means that your image will appear separately like this See Flowers. Then click back in the Browser to return.

If you images are small in file size, then maybe (5) to (10) images may be satisfactory within one display.

Links to: Web Sites, Email Addresses or Downloadable Files
First send the file to GMail's Host Service or transfer to the selected Server.
Then type codes in message text as follows:
To show a link to a file within your message:
<A HREF="http://XXXXX/file name">Name or File name</A>
Where XXXXX is the name of the host site address provided by the ISP

To show a link any Web Site within your message:
<A HREF="http://Web Address">Name of Web Site</A>

To show a link any Email Address within your message:
<A HREF="http://mailto:email address">Name or Email Address</A>


Message Archives
All messages above (50) are automatically archived.
Viewing Archives
Click 'View Archive' key on GMail Board. This will then display an index of all archives. See example: Archive Index
Cancellation of Service
GMail reserves the full right to cancel service at any time. Service may be canceled for any of the following reasons.
  • Use of generally regarded Offensive or 'GMail Prohibited' Language
  • Late or Non Payment for GMail Services
  • Copyright infringement
  • Illegal use of any kind
  • Spamming:
    • The use of GMail to unreasonably use and cause email to be sent in mass to large groups of recipients for the purpose of selling products or services such as 'Get Rich Quick' schemes etc., that are generally considered to be an annoyance to such recipients.
    • An advertisement or other unsolicited material sent to large numbers of mailing lists with no consideration for whether or not the material is appropriate for the lists it is being sent to.
    • The sending of unsolicited emails which provoke complaints from the recipients.
    • Posting commercial ads to USENET newsgroups that do not permit it, or wish it to be sent.
    • Posting articles containing binary encoded data to non-binary newsgroups.
    • Excessive and repeated posting of off-topic messages to newsgroups.
    • Excessive and repeated Cross-Posting.
    • Harrassment of other Internet users.

Access to GMail will still be provided for six months
If an Account is canceled or terminated, GMail will leave the GMail board(s) in service for Six Months to provide access to historical messages and archives.

GMail will also remove the following features:

  • Add or Send Messages
  • Create of Administer GMail or Notice boards

GMail will delete generally regarded Offensive or 'GMail Prohibited' Language.


Transfer of Archives
Upon request GMail will transfer to an Account the text files of archives of all messages. This service will be provided at an hourly rate to be determined. Typical costs will range from $15.00 to $25.00. Transfer of files may be made by disk or electronic mail.
